We do not sell or share your information for marketing purposes.Information is shared only when necessary for:

  • Authorized personnel involved in your care or billing processes.
  • Legal compliance, such as responding to court orders or government audits.
  • Third-party service providers who adhere to HIPAA guidelines.

No mobile opt-in or SMS consent information is shared with third parties or affiliates under any circumstances.

4. Administrative Access, Training, and Audit Controls

  • To support onboarding, troubleshooting, training, and system integrity, Home Health Soft may interact with client accounts under the following controlled conditions:

Option 1: HHS Administrative Roles

  • Home Health Soft maintains internal administrative roles assigned only to authorized HHS team members.
  • These roles are strictly limited and governed by role-based access controls.
  • Administrative access does not permit modification of client or patient data unless explicitly authorized by the client.

Option 2: Screen Sharing, Guided Support, and Training

  • Home Health Soft may provide live guidance, onboarding, or support through screen sharing or guided walkthroughs.
  • During these sessions, HHS personnel will not make changes to client data unless one of the following applies:
  • The client explicitly agrees during the session, or
  • Written consent is provided by the client or authorized agency representative.
  • In cases where consent is granted, actions are limited strictly to the scope approved by the client.

Audit Logging and Transparency

  • All actions performed by users, administrators, or super users within the system are logged automatically.
  • Audit logs include date, time, user identity, role, and action performed.
  • These logs are accessible to authorized super users for review, compliance, and internal oversight.
  • Home Health Soft does not access, modify, or manipulate Protected Health Information (PHI) without proper authorization and documented consent, in accordance with HIPAA and internal security policies.

5. Security Measures

Home Health Soft employs industry-standard practices to safeguard your information, including:

Encryption for data storage and transmission.

  • Role-based access control to limit who can view or edit PHI.
  • Regular audits and system monitoring to detect unauthorized access.
  • Secure login processes, including multi-factor authentication 2FA | MFA. we will update when implementation of VPN, and what will be required. 

6. Your Rights as a customer / HHS user, you have the right to:

  • Request corrections or training on how to update any inaccurate or incomplete information related to your account.
  • Restrict how your information is used or shared in certain circumstances, as permitted by law.
  • Know how your data is stored and protected, including our security measures to ensure HIPAA compliance.
  • Access records of your activity within the system to review changes and updates.
  • Receive support and assistance regarding data security, access, or any privacy concerns.

7. Retention and Disposal of Information

We retain your information only as long as necessary to fulfill the purposes outlined in this policy or as required by law.

When no longer needed, your data will be securely deleted or destroyed following HIPAA guidelines. 

8. Communications and SMS Messaging

Home Health Soft may send messages for the following purposes:

  • Notification of changes to this Privacy Policy or other legal terms.
  • Platform updates, feature releases, or system maintenance notices.
  • Support communications related to bugs, issues, tickets, or incident resolution.
  • Requests for additional information needed from your company to resolve technical or operational issues.

SMS Consent Disclosure

If you consent to receive SMS messages from Home Health Soft, you agree to receive the following types of messages:

  • Conversational messages related to support inquiries or issue resolution
  • Informational messages related to platform updates, account status, or compliance notifications.

This consent language is presented at the time login credentials are issued and when a user first accesses the system.
